Rules of Engagement

  • Check email at least twice a day in AM and PM (first thing and last thing in the day) & throughout the day as possible. Please note that we use email as opposed to texting as a preferred communications channel for documentation and corporate governance purposes.
  • Always acknowledge emails sent to you or making reference to an action item directed to you.
  • After discussing critical or project relevant items with a client or team member always follow up with an email message enumerating the items discussed with proper (and succinct) outcomes. As the saying goes “if you do not write it it never happened”.
  • Always CC your director/team-leader.
  • Please use relevant subject lines (it makes it easier to search and catalog messages).
  • Keep messages to less than 400k when possible (if larger then use Google-Drive, ActiveCollab or an FTP acct, request an FTP account if you need one).
  • When you reply use “Reply to all” persons in your emails, except in cases where it is prudent to exclude someone (i.e. when a client shouldn’t be included on a question or comment directed to the team).
  • Please note whether you were CC’d or BCC’d before responding to any messages where you were copied.
  • When possible, never go more than 8 hours without answering a client (even if it is just to let them know you are looking into it and will follow-up accordingly).
